About this website
Privacy information
The Royal Navy Winter Sports Association (RNWSA), registered charity 1205021, uses personal information to run membership and its events. This page describes the new website while RNWSA completes its formal privacy notice and retention policy.
Information used by the website
An account includes your name, sign-in email address and any verified contact emails. New service members also provide a service email address, ship or unit and service number to establish eligibility. These details remain on your member profile so you do not have to enter them again when registering. The membership team receives an account notification with these details and a link to review your profile. Membership verification records whether service eligibility has been approved and how it was checked. If you register for an event, the event team may also use your phone number, selected attendance weeks, rank or rate, unit, lesson requests and other details requested for that event. Staff actions and access changes are audited. Incident reports and welfare information have tighter staff access than ordinary event records.
What it is used for
RNWSA uses this information to provide the member area, check eligibility, manage event registration and attendance, deliver lessons and event operations, respond to safety reports, and keep records of important decisions. Public visitors can browse the association and event overviews without creating an account.
Services involved
Supabase provides account sign-in and the member and event database. Netlify hosts the website. RNWSA will manage new membership subscriptions through PayPal once the charity account is configured. Thrive4 imports are used only to verify legacy memberships. Clothing purchases take place on VX3, and the yearbook reader is hosted by Visual Paradigm; those providers show their own privacy information when you use their services.
Location at event check-in
If an event offers device check-in, your browser asks for location permission when you choose to check in. The service uses that location to check whether you are within the configured area. The routine arrival record stores the decision, time, distance and location accuracy, but not your exact coordinates. Authorised staff can record a manual check-in with a reason.
Retention and your rights
RNWSA is finalising how long each kind of membership, event, audit and safety record should be kept. This page must be reviewed with the completed retention schedule and lawful-basis assessment before the domain launch. To ask about your information, request access or correction, or raise a privacy concern, email membership@rnwsa.co.uk.
